Database Administrator

Purpose of Job
Manage and analyze data associated with contributions, including administration and maintenance of the development donor database. Assist with development of policies and procedures related to the recording and reporting of donor information and gift revenue.
Serve as the RIF's primary source for donor and contribution data and related activities. Assist department staff and RIF management by providing information and reports. Organize database orientation and training required for users to utilize the database and software efficiently and effectively.
Scope
Work under the general direction of the Director of Development. Maintain extensive contact with RIF management and staff to contribute to the achievement of fundraising goals. Oversee departmental donor data/information and revenue reporting integrity. Establish and maintain operational standards for common systems, procedures, and data and revenue management. Serve as primary liaison to RIF's Finance and Information Systems departments and to development software vendors.
Duties and Responsibilities
- Communicate, monitor and enforce policies regarding system use.
- Manage the development database including, routine maintenance, upgrades and other required utilities; manage issues being researched on behalf of the department; coordinate interactions with Information Systems staff, and the database vendor; proactively identify extraneous and inefficiently placed information and implement solutions; and organize staff orientation and training as needed.
- Process all incoming gifts and pledges. Record all financial data on the development database in an accurate and timely manner. Transmit all appropriate documentation and information regarding fund designations and donor stipulations to Finance staff and Programs staff as appropriate.
- Perform data sync operations from online giving system.
- Analyze contribution data, draw conclusions from analyses concerning trends, and concisely and regularly present analyses and interpretations to the Director of Development and other senior staff.
- Assist database users in the most efficient and effective use of the system; coach and troubleshoot as needed.
- Analyze and review applications and user needs; stay abreast of software updates and hardware recommendations; recommend or implement appropriate training for database users.
- Track fund raising progress toward goal achievement, including generation of weekly, monthly, and quarterly reports; compile and present statistical reports for past and current year revenue.
- Design and produce custom reports as required by the needs of the department and/or the Executive Office; remain up-to-date on the capacity of all "canned" reports and revise as needed.
- Ensure the preparation and submission of timely and informative reports; reconcile monthly and annually all fundraising revenue with appropriate members of the Finance staff to ensure accuracy.
- Assist in the development and implementation of an effective system to maintain and to generate accurate development mailing lists to ensure appropriate distribution of all RIF materials.
- Ensure confidentiality of departmental information.
- Undertake special projects and assignments as directed.
Knowledge, Skills and Abilities
- BA/BS degree or equivalent work experience required.
- 3+ years experience in data/information management and report generation with a proven track record of accuracy, efficiency and dependability in data entry required. Familiarity with database systems and basic programming required. Previous experience in a Development office within a non-profit organization strongly preferred.
- High level of proficiency on Raiser's Edge fundraising software systems required.
- Previous experience with and working knowledge of online giving systems.
- Previous experience with Excel, Access and automated development systems highly desirable.
- Exceptional verbal and written communications skills required; ability to convey concepts and procedures in a training situation important.
- Strong ability to multi-task and to manage time effectively required.
