Distribution Day Planning
Before the Distribution
- Consider decorating the distribution area based on a theme. Try to create an inviting and celebratory atmosphere.
- Before the children arrive, arrange the books so children can view them easily. Remember, the selection should be adequate in number and variety of titles. The last child selecting should have as much choice as the first child.
- Make sure all of your fellow teachers, parents, and volunteers are clear on how you'd like them to help during the distribution.
- Create a system to keep track of the number of children who receive books, the number of volunteers, and the overall number of attendees. This will come in handy for reporting back to national RIF.
- Provide refreshments if possible. Everyone loves to eat!
During the Distribution
- Take a few minutes to tell children about RIF and the importance of reading. Let them know today is a special day: They get to choose a book of their very own to read and enjoy forever!
- Conduct your planned motivational activity. Remember, not every distribution needs to be an extravaganza, but do try to create a memorable experience that will help the children connect reading with fun!
- Allow the children plenty of time to make their selections. Be sure not to influence their decisions in any way.
- Have each child write his or her name on the inside cover of the new book. Volunteers might have to do this for the younger children. You may want to use a bookplate or stamp to mark the book as a RIF book.
After the Distribution
- Give yourself a pat on the back!
- Use the information/numbers you collected during the distribution to complete a Distribution Report (single-site or multi-site).
- Send thank-you letters to all who helped make your distribution a success. RIF program specialists have several sample letters available to help you draft thank-you notes.
