Tips for Sending Email to Congress
Email is an excellent way to inform your senators or representative about the good work your RIF program does in the community.
While email may seem quick and easy, keep in mind that members of Congress receive a staggering number of emails each week. Therefore, in order for your email to stand out it must be well crafted and thoughtful. Below are some tips and guidelines to follow before sending an email.
How to write a good email:
- Use your own words! Uniform emails have little impact.
- State the purpose in the first paragraph.
- Keep it short and to the point.
- Include your full name, full address, and phone number.
The easiest way for you to send an email is through our website. Search for contact information using the zip code search box to the right. Once you find your elected officials information, follow the prompts to send your email.
Keep the following in mind when communicating via email/the Internet:
- Many congressional offices prefer email to other methods of communication because it is easier to process and respond to.
- In order to handle email overload, many congressional offices no longer accept constituent messages via an email address and instead ask their constituents to send comments and concerns through forms that are on the congressional website. Do fill out the forms completely and provide them with your comments.
- Don’t send emails to a lawmaker who does not represent your district. Many congressional offices require a name and address for emails. If your address indicates that you are not a constituent, your email will not be read.
- If you send an email, you will likely get a response via email. You are free to forward your lawmaker’s email response to others, but you must not alter or misrepresent the message in any way.
- Many congressional websites have an email policy that articulates how and when the office will respond to emails. Read that information carefully if you expect a response email.
- Don’t engage in a “pen-pal syndrome” (i.e. don’t begin or expect an endless back-and-forth communication with your congressional office). A dialogue is best conducted over the phone or in person.
- Sign up for your members’ e-newsletter if they offer one. This is also a good way of keeping track of your lawmakers’ activities.
